How much time does admin really take in a small trade business?

Short answer

More than most owners think, because it happens in small pieces: returning calls between jobs, quoting at night, juggling bookings, invoicing on the weekend and chasing payments. The only way to know your number is to track it for a week. Once you see where the hours go, the repetitive parts are the ones to hand to AI first.

Track one normal week

Write down every admin task and roughly how long it took: calls and texts, quotes, bookings, invoices, chasing, ordering, paperwork. Include the evenings and weekends.

Where it usually goes

Returning missed calls and messages, writing quotes, rearranging bookings, invoicing and following up unpaid ones. Each feels small. Together they're often a second job.

What it costs you

Time spent on admin is time not on paid work, or time out of your evenings. It also costs jobs: slow replies and late quotes lose work to faster competitors.

What to do with the number

Sort your tasks into repetitive and judgement. Repetitive tasks, like acknowledging enquiries, follow-ups, reminders and invoicing, are the ones AI handles well. Keep the judgement for yourself.
