Can AI write construction project reports?

By Chris Goldsworthy, founder of GOLDSTACK ·

Short answer

Yes. AI can draft weekly and monthly project reports from the data already in your project management, safety and accounting software: what changed, what's trending the wrong way, and what needs a decision. It works best when every job uses the same report format and a project manager reviews the draft before it goes anywhere.

What AI is good at here

Reading a lot of records quickly and summarising them consistently: new defects and RFIs, inspections due, variations still unpriced, cost to complete against budget. It writes the same structure every time, for every project.

What the PM still does

Context and judgement. Why the programme slipped, what the client said on site, what the fix is. The PM reviews the draft, corrects anything wrong and adds what only they know.

What it needs to work

A consistent report format, data in the systems you already use, and projects named the same way in each of them. Without those, AI has nothing reliable to read.

Start small

Pick one weekly report on one project. Compare the draft with what the PM would have written. When it's consistently close, roll it out to the next job.

Common questions

Will clients know AI drafted it?

The PM approves and sends every report, so it's still their report. Be open about your process if asked.

Can AI make things up?

It can if it's left to guess. Drafting only from your project data, with a PM review, keeps it grounded.

Does it need new software?

No. It reads from the tools your team already uses.

Is our data kept private?

Choose a setup that keeps your data within your accounts and providers you trust, with access limited by role.
