Getting started with AI

Will AI replace my office staff?

By Chris Goldsworthy, founder of GOLDSTACK ·

Short answer

No. AI takes over repetitive back-office jobs like answering calls, drafting quotes, chasing invoices and asking for Google reviews. Your office staff keep the work that needs judgement, relationships and sign-off. A person approves anything important, so AI is best seen as a way to grow without piling more admin onto the team you've got.

What AI actually does in a trades office

Think about the jobs that eat your office team's day. Picking up the phone. Typing up a quote from a few notes. Sending the third reminder on an overdue invoice. Asking a happy customer for a Google review.

These jobs are repetitive and they follow a pattern. That's exactly where AI is good. It answers the call, drafts the quote, prepares the invoice reminder and sends the review request.

For builders, it can also score every project red, amber or green across safety, quality, time, cost and contracts. That means you see which jobs need attention without someone chasing everyone for updates.

What stays with your people

AI doesn't know your customers the way your office manager does. It doesn't know that one client always pays late but is worth keeping. It doesn't know when to pick up the phone instead of sending an email.

Anything important gets a person's approval. A quote goes out when someone has checked it. A firm payment message to a tricky customer gets read first. A project flagged red gets a conversation, not just a colour.

Relationships, judgement calls and awkward conversations stay with people. That's the part of the job your staff are good at, and it's the part customers remember.

How the job changes for your team

The office role shifts from typing and chasing to checking and deciding. Instead of writing every quote from scratch, your admin person reviews a draft and fixes what needs fixing. Instead of ringing every overdue account, they handle the ones that need a human touch.

That usually means the same team can handle more work. When you take on more jobs, the admin load doesn't grow at the same rate. You aren't forced to hire another person just to keep up with the phones and paperwork.

If you're ever changing someone's duties or hours, the Fair Work Act and the relevant award set the rules. Check with the Fair Work Ombudsman or your adviser before making changes. Don't leave it to guesswork.

It works inside the tools you already use

You don't have to rip anything out. GOLDSTACK builds AI into the back office of your business inside the tools you already use. Your invoices can stay in Xero, MYOB or QuickBooks. Your team keeps working the way they work now.

That matters for staff, too. Nobody has to learn a whole new system or feel like their job has been swapped for a robot. The AI does the legwork in the background and your people see the results in the places they already look.

Keep the way you work. Put AI to work. That's the whole idea.

How to bring it in without upsetting the team

Start by talking to your office staff. Ask which jobs they dislike most. It's usually the chasing, the retyping and the missed calls. Those are the best first jobs to hand to AI.

Start small. Pick one task, such as invoice reminders or review requests, and see how it goes. Let your team check the output until everyone's comfortable.

Be upfront about the goal. If it's to grow without drowning your people in admin, say so. Staff who see AI taking the boring work off them tend to back it. Staff who hear nothing tend to worry.

Common questions

Will AI take my receptionist's job?

It takes over the repetitive part, like answering routine calls and taking messages. Your receptionist still handles the calls that need a person, checks what the AI has done and looks after customers. Their role shifts toward the work that needs a human.

Can AI send quotes or invoices without anyone checking?

It can draft them, but a person should approve anything important before it goes out. That keeps mistakes from reaching your customers and keeps you in control of your pricing and terms.

Do I need to change my accounting software?

No. AI works inside the tools you already use, including Xero, MYOB and QuickBooks. You keep your current setup and your team keeps their routine.

Is AI only for big businesses?

No. It suits small and mid-sized trades and construction businesses, because they feel the admin load the most. If your office is stretched, AI can take some of that weight without you adding headcount.
