How do I stop forgetting to invoice extras like materials and variations on small jobs?

By Chris Goldsworthy, founder of GOLDSTACK ·

Short answer

Capture extras the moment they happen, not at the end of the week. Snap a photo of the receipt or send a quick voice note, get the customer to say yes to any variation in writing, and check the invoice against your notes before it goes out. AI can do the capturing and checking in the tools you already use, and you approve the invoice before it's sent.

Why extras go missing on small jobs

It's rarely carelessness. On a small job you're on the tools, the quote is a text message, and the extra tap fittings are on a receipt screwed up in the ute.

By the time you sit down to invoice, you remember the main job. You don't remember the second trip to the supplier, or the extra hour the customer asked for while you were there.

Big jobs get a paper trail. Small jobs get memory. That's where the money leaks out.

Capture it on the day, in about ten seconds

The fix is making the record easier than forgetting. A photo of the receipt, a voice note in the ute, or a quick text: "Extra 3 metres of copper, customer wanted the second tap moved."

AI can read that photo or message, pull out what was bought or changed, match it to the right job, and add it to a running list of extras for that job. You don't open a new app or fill in a form. You keep sending the message you'd send anyway.

The habit that matters is capturing at the moment, not remembering later. AI just makes the capture quick and puts it in the right place.

Get variations approved before you do the work

A variation you didn't agree on is hard to charge for. Customers forget conversations too, and "you never told me that would cost extra" is a tough argument to win after the fact.

When the scope changes, send a short message: what's changing, what it adds, and a request to reply yes. AI can draft that message from your voice note in seconds. You read it, tweak it if you want, and send it.

The customer's reply gets saved against the job. When you invoice, the approval is already there.

Rules on variations differ depending on the type of work and where you are. For residential building work especially, check your contract and the home building laws in your state or territory.

Let AI check the invoice before it goes out

This is the safety net. Before an invoice is sent, AI compares it against the quote, your job notes, supplier receipts and approved variations. If a receipt hasn't been billed, or a variation was approved but isn't on the invoice, it flags it.

It doesn't send anything on its own. You get a short list: "Receipt from Tuesday not on the invoice. Variation approved by text on Thursday not included." You decide what goes on, then you approve it.

That keeps a person in charge of the final call, and it takes the guesswork out of it.

Keep working the way you already do

You don't have to change your accounting or rebuild your process. The invoice still lands in Xero, MYOB or QuickBooks, the way it does now. The messages still come from your phone and email.

AI sits in the middle, catching things as they happen and tidying them into a draft. You still quote your way, talk to customers your way and approve what gets sent.

If you do one thing this week, start capturing every extra on the day. Then add the check before each invoice goes out. Those two habits close most of the gap.

Common questions

How do I remember extras if I'm busy on the tools?

Don't rely on remembering. Send a photo of the receipt or a quick voice note as it happens. AI can read it, tie it to the job and keep a running list, so the invoice is mostly built by the time you finish.

Do I need written approval for every little extra?

Not always, but written approval protects you. A quick text with a yes from the customer is often enough for small changes. For larger variations or residential building work, check your contract and the laws in your state or territory.

Will AI send invoices without me checking?

No. AI drafts the invoice and flags anything that looks missing. You review it and approve it before it goes to the customer.

Do I have to change my accounting software?

No. AI works alongside what you already use, including Xero, MYOB and QuickBooks, plus your phone, texts and email. You keep working the way you do now.
