How do I handle after-hours and emergency enquiries without being on call all night?

By Chris Goldsworthy, founder of GOLDSTACK ·

Short answer

Let AI answer every after-hours call and message, ask a few set questions, and sort real emergencies from jobs that can wait until morning. Only genuine emergencies, like a burst pipe, a gas smell or a power outage, ring through to you or your on-call person. Everything else is logged with the details and ready for you to action at start of day. You stay in charge of what counts as an emergency and who gets called.

Why being on call all night wears you down

Most after-hours calls aren't emergencies. Someone wants a quote, a dripping tap fixed, or to know if you're free next week. But you can't tell which is which until you pick up.

So the phone sits next to the bed, sleep gets broken, and you start the day flat. Or you leave it ring out and lose the one job that was worth real money. Neither is a good way to run a business.

How AI handles the call while you sleep

An AI receptionist answers every call straight away, in your business name. It asks the same questions you would: who's calling, what's happened, where is the job, and is anyone at risk right now.

It doesn't need you to change your phone number or how you work. Calls forward to it after hours, and it works inside the phone and messaging setup you already use.

Text messages, web enquiries and Facebook messages can be handled the same way. The customer gets a quick reply instead of silence, which matters when they're stressed and ringing round.

Sorting emergencies from routine jobs

This is the part that protects your sleep. You tell the AI what an emergency looks like for your trade. For a plumber, that might be a burst pipe or no hot water for a household with a baby. For an electrician, sparking, burning smells or a total power loss. For a gas fitter, any suspected leak.

If a call meets your rules, it rings you or whoever's on the roster, with a short summary so you know what you're walking into. If it doesn't, the customer is told when to expect a call back and the job goes on your morning list.

For safety risks, like a gas smell or exposed wires, the AI can tell the caller to get everyone out and ring 000 or the relevant emergency line. It doesn't try to talk anyone through a fix.

Keeping a person in charge

AI answers and sorts. You decide. You set the emergency rules, the call-out conditions and who gets rung. You can change them any time.

Nothing important is locked in without you. Quotes, booking a call-out and any promise about price or arrival time stay with a person. If the AI isn't sure, it passes the call to you rather than guessing.

It's worth reviewing the overnight log for the first few weeks. You'll quickly see if the rules need tightening, and you can adjust them without starting over.

What to set up first

Start small. Write down what counts as an emergency in your business, and what doesn't. Be specific.

Then decide who gets rung and in what order, and what your after-hours call-out arrangements are. If you charge differently out of hours, make sure your customers are told through your usual terms, set by you.

Finally, check how the morning handover works. The best setup gives you a clean list of overnight enquiries with names, numbers, addresses and the problem described, so you can start returning calls over a coffee.

Common questions

Will customers know they're talking to AI?

It's good practice to be upfront, and you can set the greeting to say so. Most callers just want a quick answer and to know help is coming. A clear, calm response matters more to them than who's on the line.

What if the AI gets an emergency wrong?

You set the rules, and when the AI is unsure it passes the call to you instead of guessing. Reviewing the overnight log in the early weeks lets you tighten the rules. For life-threatening situations, callers are directed to 000.

Do I have to change my phone number?

No. After-hours calls are forwarded to the AI, so your number stays the same. Customers keep ringing you as they always have, and you keep working the way you do now.

Can it book the job for me?

It can capture the details and offer a callback time, but a person should approve anything important like call-out bookings, pricing or arrival promises. That keeps you in control of what you commit to.
